Switching billers: one cut-over date, nothing billed twice.
When you switch to Fast Tracking, your previous biller keeps following up the claims it has already lodged, and we bill everything from your first list with us. You choose the cut-over date, we register you with the funds and Eclipse, and nothing is billed twice. Onboarding takes 5–10 business days plus health fund processing.
How do I change anaesthetic billing services?
To change anaesthetic billing services, choose a cut-over date and tell your current biller. They keep following up the claims they have already lodged. Your new biller registers you with the health funds and Eclipse, contacts your surgical rooms, and bills every case from your first list after that date, so nothing is billed twice.
Who does what after the cut-over.
| Your previous biller | Fast Tracking | |
|---|---|---|
| Claims lodged before the cut-over | Keeps following them up until settled | Not involved |
| Lists from the cut-over date | Not involved | Collected direct from your rooms |
| IFC and prepayment requests | Not involved | Sent 7 days before surgery |
| Invoices for new cases | Not involved | Raised within 48 hours of your codes |
| Rejected or queried claims | Their own claims only | Followed up weekly |
| Reporting | Final report on their claims | Monthly report from your first month |
Pick a cut-over date that suits your lists.
The end of a fortnight or month usually works best. It gives your previous biller a clean line. It also gives us time to register you with the health funds and Eclipse before your first list with us.
Once the date is set, we contact your surgical rooms so lists come to us from that date. You do not need to change how you work in theatre.
A worked example: cutting over on 1 December
- Mid-November
Agreement signed, cut-over date set
You tell your previous biller their last date of service is 30 November. We record your billing preferences. That leaves at least 10 business days before your first list with us.
- Late November
Funds and Eclipse registered, rooms told
We lodge your health fund registrations and gap scheme elections and set up Eclipse, DVA and WorkCover. We contact your surgical rooms so December lists come to us.
- From 24 November
IFC for your first December patients
Patients booked for 1 December receive informed financial consent from us 7 days before surgery.
- 1 December
Your first list with us
You submit codes and times after each case. We raise invoices within 48 hours. Your previous biller is still following up its November claims.
- Early January
Your first monthly report
You receive your December report and our invoice for 4.5% + GST of what we collected in December.
What to ask your previous biller.
- A final report of all claims they have lodged and their status
- Continued portal or report access until their outstanding claims settle
- Confirmation of the last date of service they will bill
- Any patient payment plans they have set up, so patients are not confused

Subject: Billing handover from [cut-over date] Hi [name], I'm moving my billing to a new service from [cut-over date]. You will bill all my cases up to and including [last date of service], and my new biller will bill everything after that. Could you please: 1. Send me a final report of all claims you have lodged and their current status. 2. Keep my portal or report access open until your outstanding claims have settled. 3. Confirm in writing the last date of service you will bill. 4. Let me know about any patient payment plans you have set up, so those patients aren't confused. Thanks for your help with the handover. Common questions
What happens to claims my old biller already lodged?
Your previous biller remains responsible for the claims it lodged. Ask them for final reports and keep access to their portal until those claims settle. We start from your first list with us, so nothing is billed twice.
Do you take over my old biller's patient records or in-flight claims?
No. We start clean from your first list with us. That keeps responsibility for every claim clear — one biller per claim, start to finish.
Will my cash flow dip during the switch?
There are two streams of money for a while. Your previous biller's receipts tail off as its last claims settle. Ours start from your first list with us and build up as those claims are paid. Where the two overlap, you are paid from both.
Prepayment requests help bridge the gap. Patients who receive IFC 7 days before surgery with a prepayment request often pay before the day, so that money arrives sooner.
How long does it take?
Usually 5–10 business days from signed agreement to your first list with us, plus health fund processing for any new registrations or gap scheme elections.
Is there an exit fee if I leave Fast Tracking later?
No. There is no lock-in contract and no exit fee. See our full pricing.
Will my patients notice the change?
Only in small ways. From your first list with us, your patients receive their informed financial consent, invoice and payment options from us. Patients whose surgery was before the cut-over keep dealing with your previous biller until those accounts settle.
Do I need to re-register with the health funds?
We handle it. As part of onboarding we lodge your health fund registrations and gap scheme elections, and set up Eclipse, DVA and WorkCover, at no extra cost.
Referred by a colleague?
If a Fast Tracking anaesthetist referred you, you may be eligible for a $500 billing credit. See the referral program.
