- “Client” means the anaesthetist or practice that engages Fast Tracking to provide billing services.
- “Services” means the anaesthetic billing, invoicing, claims processing, payment reconciliation and related services provided by Fast Tracking.
- “Fees” means the amounts payable by the Client for the Services, as set out in clause 4.
- “Patient Data” means any personal or health information relating to patients of the Client that is provided to, or processed by, Fast Tracking in the course of providing the Services.
3. The Services
Fast Tracking provides the following services to anaesthetists:
- Preparation and issuing of patient invoices;
- Submission of Medicare, DVA and private health fund claims;
- Receipt and reconciliation of payments;
- Follow-up of outstanding accounts;
- Reporting and remittance of fees collected on behalf of the Client;
- Migration assistance for new clients transferring from another billing provider.
Fast Tracking does not provide medical, financial, taxation, legal or accounting advice. The Client remains solely responsible for clinical decisions, fee-setting, item number selection and the accuracy of the clinical information supplied to Fast Tracking.
4. Fees and Payment
Our standard fee for the Services is 4.5% (inclusive of GST) of amounts billed and collected on behalf of the Client. This fee is all-inclusive and covers:
- Set-up and onboarding;
- Migration of historical data from a prior provider, where applicable;
- Day-to-day billing operations;
- Software, support and reporting;
- Exit and offboarding, should the Client choose to leave.
There are no separate set-up fees, exit fees, software fees, monthly retainers or minimum-volume requirements unless agreed in writing. Fees are deducted from amounts collected on the Client’s behalf and remitted in accordance with the Client’s nominated remittance schedule.
Fast Tracking may vary fees on no less than 30 days’ written notice to the Client.
5. Term and Termination
The engagement begins when the Client is onboarded and continues on a no-contract basis until terminated by either party. Either party may terminate the engagement at any time by giving written notice to the other.
On termination:
- Fast Tracking will continue to process and remit any payments received for accounts already submitted, less applicable Fees;
- The Client remains liable for Fees on amounts billed prior to termination, regardless of when those amounts are subsequently collected;
- Fast Tracking will assist with the orderly transition of the Client’s data to a new provider at no additional cost.
6. Client Responsibilities
The Client agrees to:
- Provide accurate, complete and timely information necessary for Fast Tracking to perform the Services, including patient details, clinical information, item numbers and fees;
- Hold all relevant registrations, provider numbers and authorisations required to lawfully practise as an anaesthetist and to bill for services rendered;
- Obtain any necessary patient consents for the disclosure of patient information to Fast Tracking for billing purposes;
- Promptly notify Fast Tracking of any changes to bank details, provider numbers, contact information or billing arrangements;
- Comply with all applicable laws relating to the practice of medicine and the billing of medical services, including the Health Insurance Act 1973 (Cth) and Medicare Benefits Schedule rules.
7. Privacy and Confidentiality
Fast Tracking handles Patient Data and Client information in accordance with the Privacy Act 1988 (Cth), the Australian Privacy Principles, and our Privacy Policy. Our handling of health information also complies with applicable State and Territory health records legislation.
Both parties agree to keep the other party’s confidential information confidential and to use it only for the purposes of the engagement. This obligation survives termination of the engagement.
