MBS quality assurance & ECLIPSE lodgement
Every claim is quality-checked against the relevant MBS item, time units (one unit per 15 minutes for the first two hours, then one per 10 minutes), ASA modifiers where applicable, and age-related qualifying items — catching errors and omissions before submission. We then lodge through ECLIPSE and reconcile in MediTrust. In a new client's first fortnight, every claim is also checked by a senior biller.
Informed Financial Consent (IFC)
Every Brisbane patient is sent a written IFC 7 days before surgery — customised to their health fund, gap arrangement, ASA grade, and your fee structure, with a prepayment request where you want one. We field gap-fee questions from patients directly, so you don't have to take those phone calls.
Health fund & gap-cover liaison
We register you with the health funds and set up your gap scheme elections at no extra cost — Medibank, Bupa, HCF, nib, HBF, AHM, Australian Unity, Doctors' Health Fund, and the smaller funds (Defence Health, Teachers Health, Police Health, GMHBA, CBHS, and others). Known-gap and no-gap workflows are configured per anaesthetist.
WorkCover Queensland & DVA claims
WorkCover Queensland claims sit on a different schedule and approval workflow to Medicare and the funds — we set up your WorkCover Queensland and DVA arrangements, lodge the claims, follow up on insurer queries, and reconcile payments alongside everything else, at no extra charge.
Patient billing & collection
Patient invoices, payment by card, BPay or BPoint, receipts, and gap-fee follow-up — all handled by your Account Manager. Patients call our Bendigo office for billing questions, not yours.
Reconciliation & weekly follow-up
Funds, Medicare, DVA, WorkCover Queensland and patients all pay on different cycles. We reconcile every claim in MediTrust so nothing falls between the gaps, and rejected or queried claims are followed up every week.
Individual monthly reporting
A monthly report for each anaesthetist showing what was invoiced, paid and outstanding. CPD support is included too: the patient survey audit that meets ANZCA CPD requirements.

Patient financial clearance and IFC handling for Brisbane practices.
Informed Financial Consent — patient financial clearance — is an expectation of every Brisbane anaesthetist in private practice. The Medical Board of Australia’s Code of Conduct (4.5.3) asks doctors to ensure patients are informed about their fees and charges in a timely manner, so they can decide whether to proceed. It doesn’t set a number of days, but good practice is a written estimate well before the day: what the anaesthetic will cost, what Medicare and the fund will rebate, and the likely out-of-pocket gap, with enough notice that the patient can ask questions or decline.
In practice, IFC is where things can easily go wrong. A generic template, a wrong gap-cover assumption, a calculation error on the time-units estimate — any of these can turn into an unhappy pre-op phone call, a patient complaint, or a contested invoice the patient refuses to pay. Our Brisbane anaesthetic billing service handles IFC end-to-end:
- Customised per patient. Each IFC document reflects that patient's specific health fund, gap arrangement, ASA grade, expected procedure duration, and any age-related qualifying items. No generic templates.
- Sent before the procedure. The IFC is sent to the patient 7 days before surgery, with a prepayment request where you want one.
- Patient-facing support. When patients have questions about their gap fee or Medicare rebate, they call our office — not yours. We explain the fund-cover split, the 75/25 Medicare/fund benefit structure, and the rationale for any out-of-pocket cost.
- Pre-payment collection where you want it. For self-funded patients or those without gap cover, we arrange pre-payment by card, BPay or BPoint before the procedure date.
- Documentation retained. Every IFC and patient communication is kept on file in MediTrust, so there is a clear record if a patient queries their account.

DVA gold-card and white-card anaesthetic claims are also handled at no extra charge.
